Job Description
The PTA maintains a complete inventory of DP World sites in UAE; the kinds of tour which can be offered; and the key contact personnel at each site for the arrangement and management of visits. The PTA leads and manages a small Visitor Relations team (comprising telephone operators, site receptionists and administrative assistants); and maintains a collaborative network of site-based personnel whose involvement is needed to arrange and conduct tours of each key asset (including site management and safety and security personnel). Responsibilities include maintaining the quality of front office reception areas and ensuring that telephone and reception staff are trained to appropriate professional standards.
Visitors will be of diverse types, including customers and prospects, government dignitaries and VIP delegations, investors, partners, internal staff from DP World businesses and representatives of the media. The PTA works to ensure that agenda and itineraries provided are appropriate for specific visitor needs (whether these be simple tours, customized events, exhibitions, plaque presentations or other corporate activities). The DP World portfolio of assets in UAE is extensive and diverse (including the flagship Jebel Ali terminal and free zone (JAFZA); Port Rashid: and the EXPO legacy logistics academy.)
All tours must be designed to give an engaging experience of the DP World brand, reflecting the Brand Purpose (We make trade flow to change whats possible for everyone) and illustrating the evolution from simply world-class port operator to provider of logistics solutions across the end-to-end supply chain, from factory floor to customer door. Personnel must act as DP World brand ambassadors, ensuring that beyond simply warm welcomes and hospitality visitors receive up-to-date, relevant and engaging impressions of the role of the assets in building the DP World business and brand.
All tours must, of course, avoid any disruption to site operations and comply fully with all safety and security policies.
Accountabilities
Strategy – To create and maintain compelling Narratives for key infrastructure assets in UAE which:
position each asset clearly within DP World Business and Brand Strategy
capture the unique heritage underlying each assets origins and growth.
highlight the innovations which are driving the assets relevance and future value.
Planning – To work closely with Commercial and Communications to build an annual Port Tours Calendar of tours and events, based on:
actively exploiting site-based events to build relationships with external stakeholders.
using site-visits to inform and engage internal stakeholders and partners.
promoting Virtual Reality 360Tours to show-case DP World assets to wider audiences.
Implementation – To manage all aspects of the implementation of the Port Tours Calendar, including:
development of budgets, management of expenditures and reconciliation of actual costs versus estimates.
handling all tour requests, bookings, arrangement of itineraries and organisation of venues and site-based personnel required to deliver the desired visitor experience.
ensuring that tours and events are effectively and efficiently conducted to generate visitor satisfaction and to deliver value for DP World (including post-visit reviews and follow-up)
Continuous Improvement – To drive up standards of Visitor Service by:
ensuring appropriate staffing of telephone operations and site receptions to deliver 24-hour services (including management of annual leave schedules); and to maintain front office reception areas to the necessary high standards.
providing training on service standards, telephone etiquettes and visitor management (including an emphasis on training Emiratis for key roles)
conducting objective appraisals and performance reviews of service delivery.
Compliance – To constantly adhere to and actively promote behaviors which reflect the DP World Brand Purpose while specifically:
maintaining the highest levels of Safety standards
complying with DP World Principles, Code of Conduct and Ethical policies
meeting all agreed standards for DP World Brand and Visual Identity
