Business Need / Purpose of Role
The Boarding Executive reporting to the Operations Manager shall primarily meet, assist, and provide ship husbandry services to vessels calling at Ports under ISS agency, dealing with all required documentation, communicating with Principals as necessary, and liaising with the Operations Executives to ensure a good service is always provided.
This position shall also involve ensuring QMS standards are adhered to consistently in all operational activities, monitoring the required operational excellence in Marine Services, in order to meet and exceed the expectation of customers / principals.
Objectives & Measurement Key Responsibilities
Service Deliveries:
Customer Service: Meets vessels at the Port and deals with all ship husbandry requirements, obtaining assistance from the Operations Executives when required, to ensure a good service is provided.
Port Handling Management: Clears vessels in and out of the Port by dealing with relevant Port and Government officials, completing all required official documents, and boards such vessels to sort any issues, as and when required by the Operations Executives.
Safety, Quality and Environment: Ensure compliance to all relevant safety, quality, and environmental procedures in accordance with ISS QMS and ISS HSE policies and procedures to deliver highest quality services to the customers.
Vendor Management: Periodic review, evaluation, costing, initial assessment and renegotiate vendor terms and conditions keeping in view current market trends, competitions, and business gains with the purpose of verification of suppliers product, catalogue, and information and to ensure all third-party providers are certified by System Management entity as well as making certain that annual performance of the supplier is done in a timely, fair and bias-free manner.
Reporting: Monthly preparation & submission of Operational report to the Marine Services Manager to provide updates of performance and any irregularities and to ensure monthly submission of other operation, commercial and Quality assurance reports.
Communication:
Attends a Port meeting daily at the Harbour masters office in order to discuss relevant port activities for that day, and to present or obtain information as per the instructions of the Ship Services Manager or Operations Executives and re-echo the same to the Team.
Submits arrival / departure messages to the principals in the formats requested or passes such details to the office to enable the Operations Executives to communicate with Principals in good time.
Advises the Marine Services Manager and Operations Executives of all relevant Port activities that may affect Principals business, such as Port closure, repairs, or changes to Port regulations.
Documentation Verification: Review, verify documentation requirements for all shipments are as per custom clearance guidelines resulting in order to come up with smooth custom clearance procedures and process and to prepare PDAs, checklist of final DA and POPDA entries to be attended promptly/accurately.
Teamwork: Keeps the Operations Executives updated of progress made with discharge and loading operations for the purpose of advising them promptly of any problems arise and to enable them to inform the principals in good time.
External Relations:
Customer / Vendor Relationship. Establish and maintain effective formal and informal links with major customers, relevant government departments and agencies, local authorities, key-decision-makers and other stakeholders generally, to exchange information and views and to ensure that the company is providing the appropriate range and quality of services. Maintain an awareness of customer requirements and any complaints to identify any areas that may need development or improvement.
Builds and fosters good relations with Customs, Immigration, Health and Port officials in order to ease bureaucratic hassle after the completion of vessel clearing in/out procedures and any other operational requirements.
Liaises closely with concerned Port officials, Masters of vessels and Operations Executives to aid the smooth discharge, loading operations and quick turnaround of vessels.
Deals with the documentation and processing of visas in and out of the country for vessel personnel, ensuring that such matters are dealt with promptly to enable a smooth and efficient service.
Liaises with the local Immigration Department & arranges Visas and visa extensions as required for all personnel arriving under our sponsorship / Agency.
Deals with the Immigration department and other Governmental departments for all immigration related issues concerning Inchcape Shipping Services.
Knowledge, Skills, and Abilities
Excellent knowledge of Port operations
Competent user of the Microsoft Office suite including Outlook, Excel, and Word.
Good communication and people management skills, time management, planning and organizing.
Proven skills in administrative and numerate skills, able to use initiative, proactive.
Excellent interpersonal relation, and a great communicator
A team player with an excellent attitude.

Have a global perspective and possess analytical thinking
Education, Qualifications, Certifications, and Licenses
Education/Experience:
3 5 years experience in shipping and ports operations with appropriate exposure to terminal personnel, shipper and receivers, vendors, and government agencies.
Experience in monitoring the quality services provided by vendors and reviewing all related vessel invoices for accuracy in terms of time and published tariff.
Fluency in spoken and written Arabic and English.
Certificate in Administration or equivalent/School Leaving Certificate.
Proficiency in Basic MS Office application (word, excel, outlook, PowerPoint, etc.).
Valid driving license.
